Provide administrative support to enable the Client Director to make best use of his time by dealing with secretarial and administrative tasks. This will include:- •Screening telephone calls, enquiries and requests and handling them when appropriate; •Welcoming and looking after visitors; •Organizing and maintaining diaries and making appointments; •Dealing with incoming e-mails, faxes and post; •Producing documents, briefing papers, reports and presentations; •Organising and attending meetings and ensuring the Client Director is well-prepared for meetings; •Liaising with clients, suppliers and other staff; •Making decisions and delegating work to others in the Client Director's absence; •Maintaining the office filing system to deal efficiently with paper flow; •Organising and storing paperwork, documents and computer-based information; •Arranging travel & accommodation •Assist the project's top management team in ensuring the smooth-functioning of their day-to-day work through:- •Acting as the ‘message point' for the management team •Attending project Working Group meetings as a management representative Qualifications •Excellent secretarial skills (shorthand an advantage). •Good Microsoft Office skills (Word, Excel & Powerpoint in particular) •Excellent verbal communications skills both face-to-face and on the telephone.
