A P.A / Administrative assistant is required with excellent secretarial skills, MS Office (Word and PowerPoint in particular) and excellent communication skills to work closely with the Account Client Director and to act as the ‘front office' of the account team. Tasks will include: Providing administrative support to enable the Client Director to make best use of his time by dealing with secretarial and administrative tasks. This will include:- Screening telephone calls, enquiries and requests and handling them when appropriate; Welcoming and looking after visitors; Organising and maintaining diaries and making appointments; Dealing with incoming e-mails, faxes and post; Producing documents, briefing papers, reports and presentations; Organising and attending meetings and ensuring the Client Director is well-prepared for meetings; Liaising with clients, suppliers and other staff; Making decisions and delegating work to others in the Client Director's absence; Maintaining the office filing system to deal efficiently with paper flow; Organising and storing paperwork, documents and computer-based information; Arranging travel & accommodation. Assist the project's top management team in ensuring the smooth-functioning of their day-to-day work through:- Acting as the ‘message point' for the management team Attending project Working Group meetings as a management representative. The Applicant bust be Security Cleared to DV level or willing to undergo clearance to that level.
